Minutes of Regular Meeting

Call to Order

The regular meeting of the Library Board of Trustees was called to order at 7:05 p.m. by Board Secretary, Paul Schwarz. In attendance were Trustees Denise D’Ambrosio, Hope Furth, Jeane Garment, Timothy James, Julie Trelstad, Library Director Sandra Miranda, Assistant Library Director Patricia Thorsen, and Head of Internal Operations Kurt Hadeler. Absent with notice were Trustees Connors, Hawkins, Oliva, and Manager of Children’s Services Rosemary Rasmussen.

Minutes of the Regular Meeting of the Library Board of Trustees

The minutes of the regular meeting of April 18, 2006 were approved on a MOTION by Trustee Furth, seconded by Trustee D’Ambrosio.

BUDGET

City Revenue & Expenditure Budget Reports

The Board reviewed reports as of 4/30/06. Library Director Miranda reported she would be meeting this week with DPW, Finance and Budget to discuss year-end actions needed with respect to the children’s project and operating budget.

Bills 2005/06 Budget

The payment of bill vouchers #20, #21 & #22 were approved on a MOTION by Trustee Garment, seconded by Trustee Furth.

Report of Library Administration - The Board reviewed written administrative reports. Library Director Miranda reported on the Library’s integrated library system service outage that lasted from April 18-May 1, the steps taken to restore service and reasons for the outage. She expressed regret that the Library was put in this position and relief that a full data recovery was possible. She reported that copies of the vendor contract and documentation of the event were sent to the Law Dept., and that she would do all she could to get appropriate satisfaction from the vendor. Kurt Hadeler spoke about IT management procedures and changes going forward to further protect the Library. Library Director Miranda expressed appreciation to Kurt Hadeler, Pat Thorsen and staff who pitched in during this difficult time, and the Board commended the staff for its hard work and success in restoring services.

Trustee Reports & Business

WLS

Trustee Furth reported that the WLS Board delayed taking action on its contract with SIRSI in light of some outstanding issues and the WPPL service outage.

Advocacy

No report.

Friends

Library Director Miranda noted the Friends’ annual meeting would take place on Sunday, May 21, at 2:00 p.m. with speaker Ann Snowden Crosman, author of the prize-winning book "Young at Heart."

Foundation

The Board reviewed minutes of regular meeting of April 5, 2006. At the request of Board President Oliva, liaison to the Benefit Committee, Trustee Schwarz conveyed a report and some requests to the Board:

Board members are urged to secure and contribute gifts for the silent auction/treasure hunt, such as gifts certificates for dinner at local restaurants or tickets to a museum, ball game, performance etc. by the end of June.

Instead of contributing for an ad this year, Board members are asked to actively solicit journal ads from their employers and merchants they know. Mrs. Miranda distributed copies of In-Kind Gift and Journal Ad Response forms to be used by Board in their solicitations.

Board members are asked to encourage people they know to attend the Foundation’s October 21, 2006 event, give names to the Benefit Committee for the mailing list, and participate in sub-committees.

The next meeting of the Benefit Committee is May 24 at 9:30 a.m. in the Library’s Board Room, and all are welcome.

NEW BUSINESS

Best of Westchester

Library Director Miranda was pleased to report that the WPPL has been selected to receive a Westchester Magazine 2006 Best of Westchester award for the best children’s library - The Trove. She invited Board members to represent the Library on July 20 at the Best of Westchester party at the V.I.P. Country Club in New Rochelle, and Trustees Furth, Schwarz, and Trelstad volunteered.

Adjournment

There being no more business before the Board, the meeting was adjourned at 8:10 p.m. on a MOTION by Trustee James, seconded by Trustee Garment.
